Logistics & freight

Keep every shipment and its paperwork together.

AI agents that file PODs from a driver’s photo, check shipment documents before dispatch, chase late consignments and answer tracking questions on WhatsApp, alongside your TMS, Tally and Excel.

A planner at a schedule board with a dispatch colleague beside a trolley of packed boxes.

The truck left on time, but the LR has the wrong weight. The signed POD is still in the driver’s phone, so the invoice cannot go out. A customer calls three times about a consignment nobody can see. The freight keeps moving. The paperwork and the answers fall behind, and billing waits for them.

Where the hours go

Five desks where an agent earns its place.

Each is a routine your team repeats every day. The agent does the checking and the chasing. Your people make the call.

Drivers and depots

Proof of delivery, filed from a photo.

Today
Signed PODs and LR copies come back in drivers’ phones, cabins and courier envelopes. Billing waits until someone finds them and matches them to the consignment.
With an agent
The driver or depot sends a photo on WhatsApp. The agent reads the consignment number, signature, stamp and remarks, attaches the POD to the right shipment and tells billing it is ready. Short deliveries and damage remarks are flagged.
Who decides
Billing raises the invoice. Operations handles any shortage or damage claim.

Documentation

Catch document gaps before the truck leaves.

Today
An operator opens each shipment packet and checks the invoice, packing list and LR or bill of lading against each other by hand.
With an agent
References, weights, package counts and consignee details are compared across every document as the packet comes together. Mismatches and missing papers are listed against their source before dispatch.
Who decides
The operator fixes the packet and signs it off.

Operations control

Give every late shipment an owner.

Today
The control room chases carriers and depots one call at a time to find out which consignments are late and why.
With an agent
Carrier and depot updates are matched to each consignment. Overdue stages are flagged with the promised date, the latest update and an owner, and the owner gets an alert on WhatsApp, email or SMS.
Who decides
The owner decides the follow-up and what to tell the customer. A missing update is shown as missing, never as on time.

Customer service

Answer tracking questions before they become calls.

Today
Customers call and message with the same tracking questions all day, and each one means someone looking up the consignment.
With an agent
Routine status questions are answered on WhatsApp or by phone from your shipment records, and customers can get delay alerts. Claims, disputes and unclear statuses go to the service team with the consignment attached.
Who decides
Your team sets what the agent may say and owns every claim and dispute.

Warehouse and handling

Find each customer’s handling rules in seconds.

Today
Every customer has its own packing, labelling and delivery instructions, kept in emails, PDFs and the memory of a few senior staff.
With an agent
Staff ask in plain words and get the current instruction for that customer and lane, with the source document shown. Outdated instructions are marked as superseded.
Who decides
Account managers decide which instructions are current.

  1. The invoice and LR for the consignment arrive by email and WhatsApp.
  2. The agent compares consignee, package count, weight and references across the documents.
  3. Three issues are found: 40 cartons on the LR against 42 invoiced, a weight that looks like transposed digits, and no packing list.
  4. The packet is held, with each issue listed against the document it comes from.

The operator recounts the cartons, corrects the LR weight, asks the shipper for the packing list on WhatsApp, email or SMS and releases the packet.

How you will know

Four numbers that show whether it worked.

We record these before building anything, so the difference is measured against your own numbers, not a promise.

  • Time from delivery to POD on file.

Hours between the delivery and the signed POD being attached to the shipment.

  • Document errors caught before dispatch.

Mismatches found while the packet can still be fixed, against those found after.

  • Time to tell a customer about a delay.

From the first late signal to the customer being informed.

  • Repeat tracking enquiries.

Before we begin

What logistics teams ask first.

Our drivers will not use a new app.

They do not have to. Drivers and depots send photos and updates on WhatsApp, the way they already do. The agent does the sorting and filing.

We already have a TMS. Do we replace it?

No. The agent reads from and writes to the systems you use, whether that is a TMS, Tally, an ERP or spreadsheets. They stay the record of every shipment.

Carrier updates arrive late or not at all.

Every status shows when it was last updated. A missing update is shown as missing and goes to an owner. It is never reported to a customer as on time.

What if a POD photo is blurred or incomplete?

It goes back to the driver or depot with what is missing, such as the signature, stamp or consignment number, before anything is filed.

Who can see customer and shipment data?

Access follows the permissions your team already has. Private and on-premise deployment are options if your data needs to stay with you.

Start with the context

Bring one shipment that got stuck.

A POD that took a week to reach billing, a packet that left with the wrong weight or a customer who called five times. Bring the documents and the person who resolves it, and we will work out together what an agent could take off their desk.
