Property & leasing

Keep every lease, unit and deadline in view.

AI agents that file site paperwork from a photo, pull dates and terms from leases, route tenant requests on WhatsApp and remind owners before a notice period runs out.

Overhead drawing of a LEASE and an AMENDMENT with conflicting passages threaded together, beside a calendar with a circled date and a RENEWAL card.

A renewal notice was due last Friday, and the date was in an amendment nobody re-read. A tenant reported the leak twice, but the site team only got one message. Meter readings and handover forms sit on paper in the site office. None of it is hard. It is spread across too many places.

Where the hours go

Four desks where an agent earns its place.

Each is a routine your team repeats every day. The agent does the checking and the chasing. Your people make the call.

Isometric pen-and-pencil drawing of site staff photographing a utility meter while holding a job sheet, sent as a chat photo to a unit folder tabbed UNIT 4B.

Site office

Site paperwork, filed from a photo.

Today
Meter readings, inspection checklists, signed handover forms and maintenance job sheets are filled in on paper at the site, then retyped or lost.
With an agent
Site staff take a photo and send it on WhatsApp. The agent reads it, files it against the right property and unit and updates the record, such as a meter reading for billing or a closed job for maintenance.
Who decides
The property manager reviews anything that changes billing. The original photo stays attached to the record.

Leasing

Know which lease terms apply today.

Today
The team reads each lease and every amendment to work out which rent, escalation and notice terms currently apply.
With an agent
Terms and dates are pulled from the lease and its amendments, with conflicting passages shown side by side and the source page marked. Confirmed terms feed billing and reminders.
Who decides
A reviewer confirms every term before it drives billing or a reminder.

Tenant service

Tenant requests that reach the right person once.

Today
A tenant reports an issue by phone or WhatsApp, the desk retypes it for the site team, and details get lost on the way.
With an agent
Routine questions are answered from your property guidance. Maintenance requests are captured with the unit, the issue, photos and what was tried, and sent to the assigned team on WhatsApp, email or SMS.
Who decides
The site team accepts the job and confirms the fix with the tenant.

Portfolio

Hear about a deadline before it passes.

Today
Managers track renewals, notice periods and open actions across emails and spreadsheets, one property at a time.
With an agent
Confirmed deadlines, open actions and the latest updates for every property sit in one view with a named owner. Reminders go out on WhatsApp, email or SMS well before a notice period ends.
Who decides
The portfolio team decides what comes first. Reminders only use dates a reviewer has confirmed.

  1. The signed lease and Amendment 1 for unit 4B are read from the shared drive.
  2. The agent pulls rent, escalation, notice and lock-in terms from both and lines them up.
  3. Two terms changed: escalation moves from 5% each year to 15% every three years, and the notice period drops from six months to three.
  4. Each changed term is marked with the page it comes from in both documents.

The leasing manager confirms both changes. The renewal reminder is reset to the new notice date and goes to the owner on WhatsApp, email or SMS.

How you will know

Four numbers that show whether it worked.

We record these before building anything, so the difference is measured against your own numbers, not a promise.

  • Time to a reviewed lease record.

From a signed lease arriving to its terms being confirmed.

  • Corrections to extracted terms.

How often a reviewer changes a term the agent pulled out.

  • Age of open tenant requests.

How long requests wait, and how many are reopened.

  • Deadlines acted on in time.

Notice periods and renewals handled before they pass.

Before we begin

What property teams ask first.

Do we have to move our leases into new software?

No. Leases stay where they are, whether that is a shared drive, email or a property system. The agent reads them there and keeps a reviewed record of the terms.

Our leases are scanned, and some are handwritten.

Scans and photos are read, and anything unclear is marked for a person to check. Every extracted term links back to the page it came from.

Will tenants know they are talking to an agent?

That is your choice, and we recommend being open about it. Your team decides what the agent may answer and when a person takes over.

Can it send notices or approve repairs?

Only within the approvals you set. Notices, payments and maintenance commitments follow your existing sign-off process.

Who can see tenant records?

Access follows the permissions your team already has. Private and on-premise deployment are options if your data needs to stay with you.

Start with the context

Bring one lease or one request that slipped.

A renewal that nearly passed, a tenant issue that bounced between teams or a site office full of paper. Bring the documents and the person who owns the next step, and we will work out together what an agent could take off their desk.
